JOB SUMMARY
  


Oversees the day-to-day work of staff supporting multiple lines of business in one or more offices; coordinates the processing of listings and project budgets, deal related expense billing and accounts receivables and contract administration.


ESSENTIAL DUTIES AND RESPONSIBILITIES
  


Assists in managing staff. Assists in developing and maintaining work procedures and prepares work schedules. Trains and guides business operations staff to ensure firm grasp of company policies and procedures. 

Act as single point of contact to provide customer service support to both internal and external clients. 

Performs PeopleSoft review and approval of various listing and project budget items to ensure proper coding, allocation and backup. May train and assist end-users in PeopleSoft expense report entry. Tracks corporate cards for an office and/or multiple offices and resolves any expense report issues. 

Reviews monthly AR (accounts receivable) reports and evaluates the need to elevate collection efforts. Works with brokers to address problems and escalates to local management as needed. 

Provides monthly ad-hoc reports to management to track project budgets, T&E allowances, listings, among others.

Coordinates the proper processing of monthly FCG (Financial Consulting Group) reimbursements for professionals. Closely monitors reimbursement ratios (by office and by broker) and communicates variances to other managers.

SUPERVISORY RESPONSIBILITIES
  


Provides formal supervision to individual employees within single functional or operational area. Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

EDUCATION and EXPERIENCE
  

High school diploma or general education degree (GED) with a minimum of four years of related experience and/or training.
Previous supervisory experience required.
Paralegal experience preferred.

COMMUNICATION SKILLS
  


Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.


FINANCIAL KNOWLEDGE
  


Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.


REASONING ABILITY
  


Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.


OTHER SKILLS and ABILITIES
  


Proficient in Microsoft Office Suite products such as Word, Excel, Outlook, etc.

Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).


SCOPE OF RESPONSIBILITY
  


Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
