CRE Sr. Project Manager/Planner

This position will sit onsite in the Miami, FL Anthem office and you must be willing to travel onsite for project requirements.

Provide professional project management experience to designated projects and assignments at a property, campus, and facilities. Oversee the development and maintenance of floor plans, office layouts, presentation drawings and other facility related documents. 

 

The Workplace Planner contributes to property portfolio/real estate activities, incorporating the operating model to manage the cost of occupancy, improve space utilization and drive down overall real estate costs through continuous improvement.  Analyze cost and metrics data and develop high level reports on space utilization and operating costs trends.  Leverage expertise, creativity and innovative thinking to draw relevant conclusions and recommend actionable solutions. Work in conjunction with other Corporate Real Estate (CRE) personnel on capacity planning, associate moves, furniture reconfigurations, restacking and reprogramming of office space.  Take the lead in the build-out process for tenant improvement, new and renovation projects as assigned.  Interact with many levels of the company on a daily basis.  Mentors new associates or team members to the corporate real estate project management function.


Primary duties include, but not limited to: 
 

  • Provide professional project management services by coordinating and ensuring clear communication with CRE project directors, consultants, contractors and various departments on all aspects of the project from beginning to end. 
  • Develop space forecasts to meet the business needs of the Main Business Units (MBUs) based on business projections, headcount projections and space utilization.
  • Collaborate with the Corporate Real Estate Project Management Team to define project specifications in terms of cost, schedule, facilities design and construction to insure alignment exists between MBU and CRE strategies and objectives.
  • Coordinate the completion of space plans and conceptual drawings to be submitted by vendors for each assigned project.
  • Practice holistic thinking for the built environment that takes into consideration culture, social and organizational behaviors, technology, amenities, services and facilities.
  • Understand technological advances, change management, organizational leadership, and compliance issues and how each supports and/or drive workplace strategies.
  • Assist in the development of policy, space and material standards, change management activities, communications and continuous improvement.
  • Coordinate the programming and space requirements of various business units to develop scope documents to assist in the creation of functional and aesthetic space plans.
  • Develop, monitor and maintain detailed budgets using industry standards for estimating costs as required for each assigned project to ensure that overall project objectives and business needs are met.

  • Oversee the establishment of new facilities as well as the relocation and alteration of existing facilities.
  • Identify and manage the activities of architects, contractors, and other service providers, ensuring that the highest caliber talent is assigned to support the project and to ensure that resources are held to rigorous performance standards.
  • Oversee the development of design and construction intent drawings by a 3rd party resource (i.e. dimensioned drawings, construction notes, finish schedules/legends, and casework drawings).
  • Participate and assist in the procurement process to develop appropriate contracts and/or service agreements with outside service providers.
  • Manage the vendor/contractor relationship to ensure attainment of contracted services; review vendor proposals and invoices, review change orders, track closeout log and follow up with consultants and (sub)contractors for release of retainage.
  • Review tenant reimbursement packages including tenant request, receipted bills, lien waivers, and other documentation as required by the lease.
  • Coordinate furniture drawings and specifications to be submitted by vendors for each assigned project.
  • Process FF&E (furniture, fixtures and equipment) orders and other requisitions for each assigned project.
  • Prepare and present in a timely manner project update reports, budget tracking documents and drawing reviews.
  • Oversee the completion of construction, the installation of FF&E, and the associated moves for each assigned project.
  • Manage project close-out (technical and financial) to include punch lists, O&M Manuals, record drawings and budget reconciliation.
  • Oversee the site closing process for each project as assigned.
  • Responsible for developing and maintaining close working relationship with all organizations that will be involved in completing a well integrated project.
  • Provides assistance and leadership throughout all levels within Corporate Real Estate.
  • Participate with the CRE team and internal clients on future space needs/growth.
  • Work closely with other members of the CRE team to manage capacity issues, moves/adds/changes and other facility related issues.
  • Work in conjunction with various business units on the coordination of furniture reconfigures and associate moves to fulfill their space needs.
  • Observe corporate, building, and CRE policies and procedures.
  • Perform other duties as assigned.
  • Interact with many levels of the company on a daily basis, including meeting with the client, analyzing client needs and developing a space plan solution utilizing programming skills, knowledge of Anthem culture and space, furniture product, and space planning knowledge.

Qualifications:

  • Strong leadership and business relationship required
  • BS/BA in Engineering, Architecture, Construction, Interior Design or related field required and 5 years related project management experience; or any combination of education and experience, which would provide an equivalent background.
  • Effective strategic negotiation skills and exceptional customer service and consultant skills.
  • Able to influence, build rapport and exercise tact, diplomacy, resourcefulness and understanding to provide service to customers at all levels within a matrix organization to achieve expected results.
  • A solid understanding of finance and accounting concepts and the ability to define and prioritize options when presented with obstacles.
  • Ability to work with internal and external teams of creative associates with experience in architecture, interior design, LEED and spatial design software.
  • Contribute positively to a value driven culture and actively participate in a strong teamwork environment.
  • Highly motivated and able to perform effectively in a dynamic, fast paced work environment.
  • Proficient knowledge of corporate space planning and systems furniture applications required.
  • Basic understanding of municipal codes, ADA requirements and other aspects of design affecting health and safety required
  • Project Management Professional (PMP) certification is an asset.
  • Experience working in a lead role on one or more projects required
  • Solid understanding of basic building codes, knowledge of issues related to architectural and office space planning, and technical knowledge of construction documents.
  • Ability to plan, organize, lead a project team, and maintain critical project documents in accordance with industry standards and best practices as established by organization such as Project Management Institute (PMI).
  • Must be willing to travel and go onsite for project requirements and be based out of the Miami, FL Anthem office 
  • Strong familiarity with architectural drawings; furniture, fixtures and equipment; design and space planning concepts; constructions costs and schedules
  • Strong interpersonal, organizational skills and problem solving skills.
  • Excellent oral, written communication and presentation skills with the ability to interact at various levels of the organization to communicate project management.
  • Proven record of providing excellent internal and external customer service.
  • Strong analytical skills.
  • Detail-oriented with the ability to multitask and exercise proper judgment in a fast paced environment.
  • A self starter requiring minimal day to day supervision.
  • Able to lead and manage indirect reports.
  • Significant travel may be required. Must be able to travel as needed (up to 40%) and adhere to corporate travel policies and procedures.
