Essential Duties and Responsibilities:
Property Management
- Lead the daily oversight and management of a portfolio of commercial and industrial properties consistent with best-in-class management standards
- Provide extraordinary tenant service by maintaining positive relationships, promptly responding to any escalated tenant-related issues, and following up until resolution is achieved. Provide guidance to property management staff on proper responses at every level
- Implement new procedures for ensuring best-in-class tenant relations, such as tenant visitation schedules and agendas, tenant lunches, tenant events, etc.
- Perform best-in-class property inspections and follow up on any deficiencies, to ensure that they are promptly addressed
- Coach the property management staff on how to raise the level of quality of their inspections, by performing group walkthroughs
- Responsible for establishing and managing all building procedures, including maintenance, security, work rules, emergency plans, etc.
- Responsible for monitoring and enforcing the terms of all lease agreements, and other tenant charges, in compliance with established standard operating policies and procedures
- Responsible for the hiring, training, supervision and evaluation (directly and indirectly) of a qualified team of property management, facilities, operations and administrative individuals, to promote efficient and cost-effective operation.
- Develop property management strategies in collaboration with the VP of Operations, such as all site-specific documentation, including but not limited to: electronic tenant handbook, site operating manuals, emergency operations manuals, etc.
- Oversee the proper coding, tracking, reviewing, approving of all Property Management-related invoices, to ensure accuracy and prompt payment
- Responsible for the preparation, management and oversight of building operations and capital budgets, monthly accruals and variance reports, variance explanation reports, etc.
- Oversee the collection of delinquent rents, in accordance with established policies
- Responsible for cultivating and maintaining a group of high-quality third-party vendors and service providers to competitively bid various building maintenance projects
- Work closely with Commercial Leasing department to coordinate space improvements and implement marketing ideas for maximum marketability
- Work with VP of Operations, VP of Construction, and VP of Leasing to coordinate pre-move-in, move-in and vacate processes, including build-outs, lease term negotiations, and inspections upon vacancy
- Participate in the negotiation of service contracts to achieve the highest levels of performance at the lowest cost, in compliance with company policies
- Responsible for Asset Management initiatives, such as greening/LEED and energy reduction practices for the entire portfolio
- On 24-hour emergency call
Qualifications:
- Minimum of 7-10 years of proven experience with the administration and management of a large commercial property management portfolio of properties, and the supervision of property management staff
- Familiarity with Yardi a strong plus
- Proven track record of leading large teams
- Strong building operations experience & working knowledge of building systems
- Familiar with applicable local, state and federal laws and regulations
- Excellent tenant relations and business communication skills
- Superb organizational and time management skills
- Proficiency in Microsoft Word and Excel
- Strong knowledge of financial reporting, budgeting, and variance reporting
- Proven ability to perform in a fast-paced environment and interact with senior management under highly demanding conditions
- Excellent vendor management skills
- Demonstrated ability to effectively interact with diverse groups across the organization
