JOB SUMMARY
  

Responsible for supervising and coordinating the daily activities of client services personnel in an office(s). Reviews work product to ensure compliance with corporate branding standards and adherence to policy. Provides guidance and training to team members.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  


Oversees the general administrative tasks of a local team to ensure deliverables are complete and resources are deployed where needed. Resolves customer complaints or answers customers' questions regarding policies and procedures.
 
Ensures compliance with internal guidelines and policies; escalates approval(s) when necessary.

Attends marketing calls/meetings; follows up with other department teams to ensure awareness and understanding of changes that may impact how services are provided to sales/client facing professionals.

Coordinates and/or provide back-up support to the team during absences, attrition and/or heavy work overflow periods. May monitor team's PTO, approves time off requests, approves time cards. Trains new staff personnel.

Assists management with implementation of training program for employees.

Other duties as needed.


SUPERVISORY RESPONSIBILITIES
  


Provides formal assistance such as technical guidance, and/or training to client services staff. Will lead project teams and/or plan, and supervise assignments of employees.

EDUCATION and EXPERIENCE
  

Associate's degree (A.A.) or equivalent from two-year college required. Bachelor's Degree (BA/BS) from four-year college or university preferred. Minimum five years related experience providing administrative support to client facing/sales professionals. Minimum 3 years related experience within the Real Estate industry.

Previous Supervisory experience preferred.


CERTIFICATES and/or LICENSES

COMMUNICATION SKILLS
  


Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.


FINANCIAL KNOWLEDGE
  


Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.


REASONING ABILITY
  


Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.


OTHER SKILLS and ABILITIES
  


Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc. and digital marketing to include social media, web publishing and research tools. Ability to manipulate basic templates in Power Point and/or InDesign preferred.

Knowledge of business principles involved in planning, production methods and coordination of people and resources.

Personnel management skills to include providing guidance and direction to staff, setting performance standards and monitoring performance.

Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
