Description


The primary purpose of this is position is to provide management and coordinated support for space planning and all moves/adds/changes (MAC) of all BCBSA staff in both the Washington D.C. and Chicago office locations (approximately 1300 employees’ total). Develop and update all MAC policies and procedures, management of all furniture reconfigurations/procurement/repairs. Responsible for administration of Service Now Move and Maintenance modules as well as Computer Aided Facility Management (CAFM) systems pertaining to space management. Act as liaison between Workplace Services (WPS) and other business units directly related to move management and space reporting. Coordination of vendors related to workplace services technology and systems.

Responsibilities include but are not limited to:

 

Space Planning

  • Space planning and coordinates all moves/adds/changes companywide. Maintain accurate seating database in Service Now and accurate floor plans on AutoCAD. Update floor plans monthly.
  • Support on construction administration, renovation and office “build-outs”. Oversee construction, relocation and remodeling of office space as required at DC site; assist with administration of all contracts for project management, space planning, architectural, engineering, and construction services to ensure consistency of workplace functionality and design.
  • Source and prepare furniture and equipment procurement requisitions and documentation; schedule and coordinate installation and tagging activities; oversee maintenance of attic stock inventory.

 

 Facility Technology

  • Act as administrator of the Service Now, Archibus, and AutoCAD (Computer Aided Facility Management/CAFM) Managing the data entry updates for each system.
  • Function as liaison with the internal IT department and external vendors for all workplace services technology/systems.
  • Monitors the data entry and upgrades for each system. Prepare updates and/or revise department procedures for each system to ensure clear instruction and use by Workplace Services staff.
  • Prepare timely and accurate monthly reports regarding allocation of leased space by department, number of non-employees, etc.

 

Building & Vendor Management

  • Provide support to WPS team acting as liaison between building management and office employees to provide communication of building maintenance and other events.
  • Support WPS office manager in monitoring the physical premises of the DC office daily for required maintenance or repair. Follow-up as necessary to ensure satisfactory completion.
  • Oversee and monitor the MDC site for required workplace services.
  • Schedule and supervise general repair and maintenance activities related to MAC’s and space management coordinating with vendors and building management staff to ensure a comfortable and productive work environment for all employees.
  • Monitor and update the workplace services Service Now employee request system daily for MAC’s and some maintenance requests.

 

Facilities Budget & Financials

  • Contribute to the preparation of the annual controllable expense budget and capital expense budget for the DC and MDC facilities.
  • Prepare and maintain budget related to all furniture maintenance, repair, and replacement costs for both Chicago and D.C. offices.
  • Provide tracking, reporting and analysis of expenses to ensure the effective, efficient and competitive use of budgeted and approved resources. Submit monthly accrual reports to Finance.
  • Submit requests for Purchase Orders as needed for goods/services related to furniture and space management.

 

Safety and Security

  • Serve a team member for the Association Life Safety program in DC. Help ensure the DC emergency evacuation teams are staffed and safety information is accurate and provided to all DC employees and contractors.
  • Help coordinate training for the evacuation teams in emergency response processes.
  • Serve as back up support for Disaster Recovery Team for the Washington DC office.

Required Basic Qualifications:

  • Associates Degree or equivalent experience.
  • Minimum of five years of practical experience in facility or property management.
  • Minimum of three years of Move/Add/Change (MAC) management experience.
  • Minimum of two years budget experience.
  • Proficiency in Microsoft software applications: Word, Excel, PowerPoint, (or other database application). AutoCAD, Service Now and Archibus (or related CAFM) experience a plus.

 

Preferred Basic Qualifications:

  • CFM (IFMA designation of Professional Facilities Manager) FMP or FMA (BOMI equivalent of Professional Facilities Manager)
  • Bachelor’s degree in Interior Design, Architecture, Project Management, Construction Management or Facilities Management
  • Experience in interior design, construction project management or other related industry
