Description


The Meeting & Events Manager manages the daily operations of the amenity center at Stadium Tower, ensuring high-quality customer service by building strong event programming that aligns with the goals of clients and other stakeholders.

As the Meeting & Events Manager, you would lead a team of Hosts who serve as meeting and event specialists ensuring planning, space preparation, service delivery and pre/post-event wrap-up activities are delivered with care and quality. In addition to making recommendations on budgets and cost management, this individual also coordinates with clients & tenants to resolve complex issues and provide a consistently positive experience through regular engagement and improvement of event processes.

Essential Duties and Responsibilities

  • Manages weekly & monthly tenant engagements
  • Make recommendations on budgets and cost reductions.
  • Troubleshoots and resolves complex tenant inquires and complaints that are escalated.
  • Follows up with tenants timely to ensure satisfaction.
  • Coordinates special requests to Office Manager.
  • Ensures consistency in support provided by the team through continuous review and improvement of existing processes.
  • Interprets and communicates goals and direction with management.
  • Sets achievable goals that are linked to the objectives of the organization.
  • Accountable for SLA's, KPIs, and benchmarks; reports out on a recurring basis.
  • Ensures event operations are compliant with safety and facility/property requirements.
  • Ensures smooth event operations; troubleshoot as needed.
  • Serves as primary contact with tenant for meeting & events forecasts and strategies.
  • Motivates and coaches staff towards attaining performance goals, maintaining high productivity, and improving customer satisfaction.
  • Responsible for recruiting vendors for amenities.
  • Ensure Amenity Center and Fitness Shower Rooms are stocked with supplies and replenish as needed.
  • Manages all on-site events, engagements and additional amenities. Creatively contributes to on-site engagement with weekly, monthly, and seasonalengagement offerings to promote tenant retention, in line with the goals of client.
  • Responsible for monitoring and upkeep of tenant insurance and tenant contact lists.
  • Responsible for maintaining relationships with tenant managers in building and serving as a key point of contact for tenant requests and communications.
  • Responsible for creation of building communication materials (proficiency or basic prior experience on Canva is ideal).
  • Responsible for managing the building Host App (user support & content creation).
  • Responsible for planning all on-site events and tenant engagements.
  • Responsible for providing creative content for building Instagram account.
  • Providing all tenants, guests, and client with excellent customer service (greeting all guests, providing beverages, and providing building support as needed).
  • Assisting with on-site tours and presenting the amenity program to prospective tenants.
  • Provides support with new tenant on-boarding: sending out welcome documents, providing welcome gifts for new tenants, establishing and maintaining on-site relationship with tenant manager(s).
  • Managing A/V support for conference rooms.
  • Responsible for sending out tenant communications, including but not limited to: Tenant notices, on-site events and amenities, monthly newsletter, building information, holiday notices.
  • Providing support for on-site amenities (Amenity Center, Fitness Center, Electric Charging, and any amenity vendors.
  • Performs other duties as assigned.


Supervisory Responsibilities

Provides formal supervision to individual employees within single functional or operational area. Recommends staff recruitment, selection, corrective action and termination. Prepares and delivers performance appraisal for staff.

Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

Qualifications

Education and Experience

  • Bachelor's degree (BA/BS) in a related field of work or equivalent work experience and a minimum of 4+ years working in the meetings industry in areas such as a planner, travel manager, hotel sales or similar preferred; or equivalent combination of education and experience (equivalent work experience = 2 years experience for every year of higher level education).
  • Has at least 4+ years of formal supervisory experience.
  • Experience working in or with a multi unit environment e.g. hotel, retail, food, etc. across multi-stakeholder, matrixed environments on a global scale to achieve objectives preferred.
  • Understands the sales process, meeting dynamics, support services, vendors, and industry at large.
  • Certificates and/or Licenses
  • Certified Meeting Professional (CMP) preferred.
  • Communication Skills
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
  • Ability to respond to common inquiries or complaints from tenants, co-workers, and/or supervisor.
  • Ability to effectively present information to an internal department and/or large groups of employees.
  • Comfortable meeting and engaging with new people.
  • Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.
  • Utilize a high level of attention to detail as well as strong interpersonal skills.

Financial Knowledge

Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports.

Reasoning Ability

Ability to solve advanced problems and deal with a variety of options in complex situations. Requires expert level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company.

Other Skills and/or Abilities

  • Proficient with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc.
  • Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.
  • Ability to work in multiple software platforms, including Canva & Adobe Acrobat Pro, and learn and retain technical software applications quickly.
  • Good organizational skills.
  • Must work well under pressure with multiple deadlines, and demonstrate a proactive approach to routine and non-routine occurrences.

Scope of Responsibility

As a Supervisor / Manager:

While adhering to all HSE requirements established for CBRE employees, supervisors and managers are required to:

1. Provide sufficient distraction free time for employees to complete all required HSE training & support the HSE training program implicitly.

2. Investigate and resolve (if possible) all reported unsafe conditions / acts and communicate results back to the affected stakeholders.

3. Support stop work authority when it is exercised in good faith.

4. Communicate any / all potential workplace hazards and workplace procedures.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the position is $72,000 annually and the maximum salary for the position is $85,000 annually The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE's applicable benefit program.
