Description


The Asset Management Team Coordinator provides operational support to the Asset Management team on its portfolio of commercial real estate properties.   This role facilitates departmental processes, coordinates data, manages software applications, and performs other important duties to support the day-to-day management of the real estate portfolio. 


Essential Duties: 

  • Gather, analyze, and validate various real estate data and information. Assist with compiling into reports and presentations as needed.
  • Schedule and coordinate key department meetings for oversight of real estate portfolio. Attend meetings, publish notes, and track action items.
  • Manage departmental SharePoint site including creating and editing pages, maintaining lists, and updating site permissions.
  • Obtain/maintain proficiency in new and existing software applications and technologies.  Assist other employees in use of systems by providing training or guidance.  
  • Perform risk and compliance testing on various processes and procedures.
  • Support the management and record-keeping of broker commissions, leasing agreements, and tenant letters of credit.
  • Provide secondary support for execution and administration of tenant leasing at real estate properties.
  • Create, update, and maintain written procedures and instructions for key departmental processes.
  • Assist with implementation of CRM platform, including data input, research, and quality assurance.
  • Complete assigned projects in a timely manner with minimal oversight.  Assist with the coordination and oversight of other departmental projects.
  • Identify and explore opportunities to add value or improve existing processes.
  • Manage multiple deadlines and operate with a high level of initiative and resourcefulness.
  • Coordinate the schedules for executives and their respective teams, prioritizing functions and appointments. Ensure that meetings, travel logistics and project deadlines are managed seamlessly.
  • Coordinate a significant amount of travel scheduling for domestic and international trips to include arranging and confirming exceedingly detailed business itineraries, airline reservations, hotel accommodations, car reservations, etc. Subsequently, process and track expense reports and reimbursements.
  • Proofread and draft correspondence, speeches, reports and presentations from the executive office showing a keen eye for detail, correct grammatical structure, and formatting.
  • Interface with both internal and external professionals at every level including many senior level partners, institutions and consultants with discretion, competence and discernment. Comprehend and communicate the executives' intent to internal professionals and external clients. Maintain strictest confidentiality when handling sensitive or confidential information, and as appropriate.
  • Perform other essential duties as assigned.

Minimum Qualifications:

  • Must have 5+ years of work experience in a comparable role, commercial real estate experience is required. 
  • Bachelor’s degree with major in business, technology, real estate, or related field preferred.
  • Demonstrated knowledge with SharePoint.
  • Highly proficient in spreadsheet software such as Microsoft Excel.
  • Advanced skills in MS Suite (Word, Power Point, Outlook).
  • Strong organizational and time management skills.  Ability to demonstrate a high level of attention to detail and accuracy.
  • Familiarity with customer relationship management (CRM) software platforms.
  • Ability to successfully manage multiple deadlines and requests simultaneously and with composure.
  • Must be professional, flexible, positive, and personable when interacting with internal co-workers and external associates.
  • Effective verbal and written communication skills.
  • Technology background and other software expertise a plus.
  • Must be willing to work on-site and show proof of COVID-19 vaccination (or request and receive an authorized exemption).
