JOB SUMMARY
  

The purpose of this position is to manage the events and conference rooms within the facility and to perform administrative duties in accordance with the office procedures of individual departments.


ESSENTIAL DUTIES AND RESPONSIBILITIES
  


Management of events for the Multipurpose Rooms, General Floor Conference Rooms and all other meeting spaces on the day of events.

Manage, coordinate, and assist with the setup of furniture, cleanliness of meeting spaces, ordering of catering and all other necessary tasks.

Manage conference room calendars and arrange appointments. Be able to maximize space utilization.

May perform technical duties such as working with multi-media software, setting up Audio Visual equipment, initiating video conferences, or operating phones or the Internet.

May perform a variety of facilities and maintenance duties such as processing work orders for maintenance.

Work with all departments and vendors to ensure all aspects of each function are covered.

May open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.

Maintains daily email and phone requests in a timely manner.

Other duties may be assigned.

EDUCATION and EXPERIENCE
  

High school diploma or general education degree (GED) required.

Minimum 2 years of related experience.

Events and conference room management experience preferred.

Experience with and basic knowledge of modern A/V concepts/equipment, including troubleshooting preferred.

COMMUNICATION SKILLS
  


Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.


FINANCIAL KNOWLEDGE
  


Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.


REASONING ABILITY
  


Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
